This policy explains what data the Forum holds about you, why we hold it and the control you keep over it.

1. Information we collect

  • Account information: name, email address, mobile number, district and member category supplied during registration.
  • Verification documents: national ID, birth certificate, student ID or passport pages uploaded for KYC review. These are stored in a private storage bucket and are readable only by you and authorised verification staff.
  • Profile and portfolio content you choose to publish, including profession, institution, biography and project samples.
  • Payment records: invoice number, amount, method and transaction reference. We never store card numbers, PINs or mobile wallet passwords.
  • Technical data: device type, browser and access timestamps used for security auditing and abuse prevention.

2. How we use your information

  • To verify your identity and issue your digital member ID card and certificates.
  • To operate the training academy, scholarship review, job board and support desk.
  • To send you official notices, membership status updates and service notifications.
  • To detect fraud, impersonation and fake certificate claims.
  • To publish anonymised, aggregated statistics about the freelancing community.

3. What we publish publicly

  • Public verification at /verify only returns your member serial, name, member category, photo, district, card status and validity dates so third parties can confirm a card is genuine.
  • Profession, institution, biography and portfolio items appear publicly only if you enable the public profile option in your dashboard. You can switch it off at any time.
  • Your email address, phone number, uploaded documents and payment history are never exposed publicly.

4. Data sharing

  • We do not sell member data. Information is shared only with authorised Forum staff, and with training or scholarship partners strictly where you have applied for that programme.
  • We may disclose information where required by a lawful order from a competent authority.

5. Security

  • All traffic is encrypted in transit. Access to member records is controlled by row-level database policies and role-based permissions, and every administrative action is written to an immutable audit log.
  • Leaked-password protection is enforced at sign-up, and staff accounts are limited to the minimum privileges required.

6. Retention and your rights

  • Verification documents are retained for the life of your membership and deleted on request once your membership ends.
  • You may access, correct or export your data, withdraw your public profile, or request account deletion by writing to us. We respond within 30 days.

7. Children

  • Student membership is open to applicants aged 13 and above. Applicants under 18 must have guardian consent, and we do not knowingly collect data from children below 13.
